Viewing Event Details

By selecting an Event Title/Name from any of the List – View Formats or the Grid View Format, you will be navigated to the View Event Details screen.  On the Event details screen you will see the information outlined below.  If you need help throughout the Calendar, please click on the “Help” icon in the upper right hand corner to display in-context help for that “View Screen”.  Also, use the “Print” icon in order to easily print the contents of the current page being displayed.

Use the top navigation areas to:

  • Select a New Display Format: Options include Date - List View, Category - List View, Location - List View, Summary - List View and Grid Format.  Select a new value from the drop-down list to automatically navigate to that Calendar View format.
  • Quick Search Icons: Options include Day, Week, Month and Year Icons.  Click on any of these graphic icons in order to view the events for the current day, week, month or year.  You will stay within the View format that you have chosen but the date range of events included in the view will be based off the icon selection for day, week, month or year.

Other Search Options Available on the Left Hand Search Navigation Area

Calendar Grid:   There are various options within the Calendar Grid included on the Event Details View. 

  • Month Selectors:  Navigate to the next and previous month’s events by using the right and left arrow selectors beside the current month. If you select an arrow to the right of the month/year displayed, it will navigate the grid to the next month and change the events displayed in the list on the right to the new month’s events.  If you select an arrow to the left of the month/year displayed, it will navigate the grid to the previous month and change the events displayed accordingly.
  • Week Selectors:  View the Date List for all events in a specific week of the month, by clicking on the arrow to the left of a particular week. If you select an arrow beside of a particular week, then the week will highlight and the corresponding events will display in the list on the right hand side of the screen.
  • Day Selectors:  Click on any day within the month grid displayed in order to view the Date List for that day of the month. If you select one of the “dates” within the grid, it will highlight that day on the Calendar grid and display the list of events corresponding for that date on the right hand side of the screen.
  • Display Month:  Use this drop-down in order to quick select the month that you would like to view.  All twelve months of the year are displayed and once selected, you will be automatically navigated to the month selected for viewing all events for that particular month.

Advanced Search Options Include:

  • Date Range:  Use these drop-downs in order to select a start and end date in order to refine the events that are displayed in your results area to the right.
  • Date Range/Time Range: Use these drop-downs in order to select a range of days and a range of time in order to refine the events that are displayed in your results area to the right. *PLEASE NOTE: Date Range/Time Range searching may be disabled for the calendar search options. If you do not see the drop-down selection boxes for Date Range and Time Range, then the feature was disabled for this calendar.
  • Category(s):  Use this drop-down in order to select a single Category of events to view.  You can also select to View All Categories or to “Select Multiple” which will open a pop-up window where you can check those Category(s) and Subcategory(s) of interest to you as part of your search. If multiple Category(s) and Subcategory(s) have been selected to view, you can use the "View" option located next to the Category title to view all the Category(s) and Subcategory(s) that have been selected.  *PLEASE NOTE: Category searching may be disabled for the calendar search options. If you do not see a category drop-down selection box, then the feature was disabled for this calendar.
  • Location(s):  Use this drop-down in order to select a single Location of events to view.  You can also select to View All Locations or to “Select Multiple” which will open a pop-up window where you can check those Locations of interest to you as part of your search. If multiple Locations have been selected to view, you can use the "View" option located next to the Location title to view all the Locations that have been selected. *PLEASE NOTE: Location searching may be disabled for the calendar search options. If you do not see a location drop-down selection box, then the feature was disabled for this calendar.
  • Keywords:  Use this text area to enter in a list of keywords as comma separated values.  The maximum number of characters that can be entered in this keyword field is 50 characters. If multiple Keywords have been entered as comma separated values, you can use the "View" option located next to the Keyword title to view all the Keywords that have been entered. *PLEASE NOTE: Keyword searching may be disabled for the calendar search options. If you do not see a keyword search text box, then the feature was disabled for this calendar.

Once you have selected your search criteria and hit the “Submit” link, the selected search will be initiated and the resulting events that match the selected criteria will display in the list on the right of your screen.  If there are no events found that match the search criteria, then a message is displayed and will inform you to “There were no events found matching your search criteria. Please search again”. You can choose to refresh the current Calendar view and start a new search by clicking on the "New Search" link located next to the Advanced Search Title. 

  • Display Month:  Use this drop-down in order to quick select the month that you would like to view.  All twelve months of the year are displayed and once selected, you will be automatically navigated to the month selected for viewing all events for that particular month.

Viewing Event Details

The following event details are display in the right hand area of the screen:

  • Event Name: Name of the event that was added by the event administrator. 
  • Start/End Date/Time: The Start Date and Start Time of the event is displayed.  If an event has an End Date and End Time, then they will be displayed as well.  All Day events will display “All Day” within the Start Time area.  If an event is scheduled to recur, then the recurring schedule will be displayed as well.
  • Event Description: A description of the event will be displayed.
  • Contact Information: If a contact is available for the event, then the details for the contact will be displayed.  Contact information that may display includes:  Contact Name, Phone and Email.
  • Location Information: The location or location(s) where the event will take place will be displayed. Location information may include the Building and Room Number information as well as the specific address for the location. If a View Map link appears as a hypertext link, then it can be selected in order to navigate to a mapping tool (possible mapping tools that may be linked include MapQuest, Google Maps or Microsoft Live Maps.
  • Image: An image may be displayed on this page for graphic representation of the event.
  • Attachments for this Event: Attached files may be displayed and reviewed by clicking on the title of the attachment. 
  • Additional Details – There may be additional details that display in this section of the event details screen. Four custom fields can be created by the event owner. 
  • Registration Details
    If registration is enabled for an event, then the following registration details may also display:
    • Registration Deadline - If a specific deadline does not display, then the deadline is the start date/time of the event.
    • Event Cost - If there is a cost associated with registering for an event then it will be listed. If an event is a series (multiple occurrence date(s)/time(s)), then it is possible for the cost to be applied at either the entire series level (if mandatory series registration is being enforced) or at the occurrence level. The total that is owed to complete registration will be displayed on the registration form after the event dates/times have all been selected.
    • Number of Registration Spaces Remaining - If a limit has been set for the number of spaces available for registration for the event, then that number will display on this screen.  Once the available spaces have been filled, then an alternate message will display that there are no remaining spaces available for this event.  It is possible for additional spaces to sometimes be added to events.  If you are interested in the event, use the event contact information in order to notify the event owner or to ask any questions.

Other Actions from the Event Details Screen

Some of these features may not be enabled depending on the Calendar Administrator's settings.

  • Go Back: Selecting this link will take you back to your previous Event View List.
  • Add to My Calendar: Selecting this link will take you to an informational screen that explains how to easily add this event to your personal calendar. 
  • Email a Friend: Selecting this link allows you to send an email, containing Event Details and a hypertextlink to navigate directly to the Event Details, to one or more recipients. Insert semicolons between multiple recipient addresses. 
  • Notify Me:  Selecting this link will allow you to enter your email address in order to be added to an event modification subscription list.
  • Remind Me:  Selecting this link will allow you to enter either your email address or your cell phone number and carrier, in order to be added to an event reminder list. You will have the option to select the timeframe prior to the event when you would like to receive your reminder notice.

    *PLEASE NOTE: Some cellular carriers will split SMS messages into two parts. This does not mean that two messages are being sent for the same event, it simply means that the carrier treats the SMS as a continuation from the previous message. Individuals are responsible for all costs incurred with SMS messaging.

  • Register:  Selecting this link will allow you to complete an interactive registration request form for the event. Complete the form and click SUBMIT to send your registration request to the event administrator. You will receive a follow-up email once your registration request has been processed and the follow-up email will inform you that you have either been approved or denied for the event registration.

The Calendar exports event details in the iCalendar (iCal) industry standard format so that you can export any event from the Calendar to another application such as Outlook, Lotus Notes, Palm Desktop, or any other calendaring program that supports the iCal standard.
